What are Template Permissions?
Like most of the Catapult Form Software, the templates you create are bound by roles and permissions. Permissions are required so users within the platform cannot view private information or data not specific to their role.
Setting Template access:
Templates can be accessed via the Left-Hand Menu. The majority of Users (unless they have a custom LHM configuration) will be able to access them by clicking the Forms Left-Hand Menu Item and then clicking the Templates options.
The page can also be accessed directly via inputting: https://{region}.catapultsports.com/documents/templates
To access this page Users must have the following permission. This permission gives them access to the Template List Table.
How to set Template Roles and Permissions
Once you have created your template, follow these steps to add in template permissions.
- Click on Element settings
- Click on Access Control List
- Click on the “+” icon located next to the permissions level
- Add the permissions for the template
- Click save
- Save the template
Understanding Template Permissions
- Read Template:
- Staff - This will allow the user to see the Template in the Template List (Forms - Templates)
- Players - This permission is only applicable if the user also has Record Read access. If they have this permission in isolation they will not see anything.
- Update Template:
- Staff - This will allow the user to edit the Template. The user must also have Template Read access otherwise they will not be able to access the Template.
- Players - N/A
- Delete Template:
- Staff - This will allow the user to delete the Template. The user must also have Template Read access otherwise they will not be able to access the Template.
- Players - N/A
- Read Record:
- Staff - This will allow the user access to the Record List. They must also have the Template Read permission granted to access the record list via Forms - Template - Right Click => View All Records. This permission will not allow them to view records via the Record Table, this will purely allow them to access the list. They will however be able to view records via the Player Profile - Forms tab with this permission.
- Players - This will allow the user to read draft and finalised records where they are the subject user. They must have the Template Read permission as well otherwise they will not see the records populate via their Individual Profile - Forms.
- Notes: This permission should not be granted in isolation. If a user only has this permission and accesses records directly via a URL, the page will not render and they will get an error.
- Create Record:
- Staff - This will allow the user to create new records. The user should also have Record Read, Template Read access granted as well to create a new record.
- Players - N/A
- Update Record:
- Staff - This will allow the user to edit records. If they do not have the revert to draft permission enabled via their role they will be able to edit draft records only. If they have the revert to draft permission enabled then they will be able to edit finalised and draft records. The user will need Template Read and Record Read access too.
- Players - This will allow the user to edit records. If they do not have the revert to draft permission enabled via their role they will be able to edit draft records only. If they have the revert to draft permission enabled then they will be able to edit finalised and draft records. The user will need Template Read and Record Read to access the Record.
- Delete Record:
- Staff - This will allow the user to delete records. The user will need Template Read and Record Read Access too.
- Players - N/A
What do the Template permission Levels mean?
Team Access - Provides access to the whole team
Role Access - Provides access to all users in the role selected
Group Access - provides access to all users in the group selected
Individual Access - Provides access to the individual selected
It is important to remember that if you deny access to an individual, group or role, this trumps the whole team permissions.
